To begin with, the Evoko Room Manager is mounted on the wall outside of all your conference rooms, boardrooms, training rooms, or any other corporate meeting rooms, and is hard-wired back to your server room. Evoko is then added to your Microsoft Exchange server as a room resource and becomes your primary solution for managing these rooms.

The true beauty of Evoko is in the display. In its normal state the Evoko system glows bright green, allowing everyone to see at a quick glance that the particular meeting room is available. Users can simply walk right up and book an instant meeting using the touchscreen, and the display will immediately turn bright red indicating to anyone else that the room is occupied.

BOOK MEETINGS FROM ANYWHERE

Because the meeting room management system is also connected to your company's Microsoft Exchange Server or Google Apps for Business, users can book their meetings in Microsoft Outlook or Google Calendar, just like they always have. Your server will automatically send updates to all the various Evoko units in your company, and the indicator lights will turn red when the meeting starts.

New Evoko units are simple to deploy on your system, because you simply add them in your exchange account as a resource just like you would add a new employee on the network. Now, with the additional "Cloud" features of Microsoft Exchange and Microsoft Office 365, you can book your meetings from any computer or mobile device from anywhere in the world, and Evoko will automatically be updated with the correct meeting information.

Evoko is truley a meeting room management solution, so in addition to changing colors it also displays an overview of that particular meeting room's status. Once a meeting has been scheduled, the Evoko's will display all the important information about the meeting including the subject, the meeting time, and the attendees.

With an Evoko room manager installed outside your meeting spaces, your employees are immediately more productive and your rooms are more efficiently used. Users can confirm meetings, book more meetings, extend the time of their meetings, cancel meetings, and even notify the appropriate personel if there are any problems with the meeting room.

The Evoko unit is capable of displaying all the various AV components that the meeting room has available, right on the touchscreen, which allows users to know exactly what is or isn't available in a specific meeting room. If there is ever a problem with any AV component in the room, the user can simply press a button on the screen and report the issue. An email is then sent to the IT department, notifying them of the problem, and the employee can get back to work.
